Le Salon — meeting room concierge
A full-stack platform that covers the whole meeting cycle: booking, an AI Concierge that takes action (tool calling), a real-time SIDSIC Cockpit for technicians, and minutes generated from a simple audio file. A deliberate palace-style identity, with an optional 100% offline mode.

Understanding the need
The context.
In most organizations, the meeting cycle is split across several tools: a spreadsheet for bookings, an email to alert the technician, a separate document for the minutes. Daily use pays for this fragmentation in lost time, partial traceability and the feeling that the tool always misses the actual need.
The problem to solve
The usual answers force a choice: either a standard SaaS product with no grounding in the business and no sovereignty, or an internal tool that works but lacks the finish expected of a product. Neither treats the full cycle (booking, technical supervision, reporting) as a single journey, built on the identity systems already in place and deployable in sovereign mode.
The design frame
The constraints.
- Reuse of the existing GLPI directory, with no new identity layer to maintain, plus a local-account fallback to guarantee continuity
- Four roles to serve with dedicated business views (USER, GESTIONNAIRE for room managers, TECH, ADMIN) without weighing down anyone’s experience
- Multi-user LAN environment with a shared public IP: rate limiting per user_id, never per shared IP
- Optional 100% offline operation for sensitive environments (local Whisper transcription, Sentence-Transformers embeddings)
- Traceability required for every sensitive action: an audit log capturing before/after state, actor, timestamp and entity
The answer
What was designed.
- Smart booking: multi-room calendar, automatic rounding to the quarter hour, conflict detection, seating layouts (hollow square, U-shape, classroom, conference), equipment, VIP and technical support flags, room plan, PDF export
- A tool-calling AI Concierge (Google Gemini 3.1 Pro) that actually carries out actions (booking, canceling, listing, checking availability) with built-in disambiguation and per-user rate limits (10/min, 100/h, 500/day)
- A SIDSIC Cockpit dedicated to technicians: real-time supervision of the next 2 hours, T-30 min alerts, color coding by priority, automatic priority for critical rooms
- End-to-end minutes from an audio file: transcription (Gemini in the cloud or faster-whisper locally), then a structured summary covering participants, reconstructed agenda, decisions, actions with owners and deadlines, and risks
- A RAG document base (ChromaDB) the Concierge can query, with a choice of three embedding providers (Gemini, Ollama, Sentence-Transformers), two of them 100% local
- A proprietary palace-style identity: Cinzel / Cormorant Garamond / Inter, burgundy velvet and champagne gold, a concierge seal and a personal badge engraved in Cinzel

Project overview
Le Salon is a digital concierge for meeting rooms. The promise is simple but unusual for an internal tool: treat the full meeting cycle (booking, technical supervision, reporting) as a single journey, with the finish of a product rather than the bare minimum of an intranet.
Behind the palace-style identity (burgundy velvet, champagne gold, engraved typefaces) sits a FastAPI + PostgreSQL + ChromaDB back end paired with a React 18 + TypeScript + Vite front end, served as a monorepo from a single domain. The application serves four distinct roles (USER, GESTIONNAIRE, TECH, ADMIN) without weighing down anyone’s experience, and can run 100% offline for sensitive environments.
What the project demonstrates
- AI can act, not just answer: the Concierge actually carries out actions (booking, canceling, listing, checking availability) through Gemini 3.1 Pro tool calling, with built-in disambiguation and per-user rate limits, so costs cannot drift.
- A pool of shared rooms can have its own real-time supervision: the SIDSIC Cockpit is not a generic admin screen but a business tool for technicians, with T-30 min alerts and automatic priority for critical rooms.
- An audio file can come out as structured minutes (summary, decisions, actions with owners and deadlines, risks) with no manual step, using either a cloud engine (Gemini) or a 100% local one (faster-whisper).
- An internal tool can reach a product-grade finish (proprietary visual identity, responsive design, premium error boundaries, before/after audit log) with no compromise on back-end rigor.
Product perspective
The project brings together what is usually handled in silos (booking, assistance, supervision, reporting) in a single coherent system, built on the existing GLPI directory and deployable in sovereign mode. Each capability is designed as a self-contained business component: the document RAG offers a choice of three embedding providers, two of them local; transcription offers two interchangeable engines; authentication falls back to a local account when GLPI is unavailable.
The palace-style identity is not decoration: it embodies the conviction that everyday use deserves the same care as a public interface. Cinzel for engraved signatures, Cormorant Garamond for long titles, Inter for body text: three ranked typographic roles, and a consistent art direction from the monogram to the error notifications.
